FAQ

  • Transportation typically books Field Trip submissions within 2 school days. The building’s Field Trip Coordinator will be BCC’d on the booking email.

  • Final trip confirmations are typically sent 1 school day before Huntington Coach trips, 3-5 days before Luxury Coach trips.

  • For Luxury Coach trips, a pre-filled Coach Bus Inspection Checklist, with instructions, will be sent to both the Trip Leader and Trip Coordinator.

    If you haven’t received confirmation by 12PM the day before a Huntington Coach trip, or 3 days before a Luxury Coach trip, please contact the Transportation office at transportation@syossetschools.org
  • After submission, Tripfinder can only be edited by the Transportation Dept. If you have substantial changes, please let us know and we will return the Tripfinder to Level 1 so you can edit. However, we will make minor changes for you. Please email transportation@syossetschools.org. Your email doesn’t have to be formal. Changes will be processed within 2 school days, usually sooner.

  • Cancellations should be completed as far in advance as possible. Our Huntington Coach school bus deadline is one day before the trip. Luxury Coach deadlines vary by provider. They typically require 30-days to cancel without penalty. Penalties vary by provider and are based on timing.

Due to driver shortage, Huntington Coach needs most drivers to be in the district for morning drop-off and afternoon dismissal.

They can usually handle a drop-off before 8am. Other morning trips start at 9:05.

For the return home, buses need to be back in district by about 2pm. Departure time from the destination depends where they are. If the trip must stay later, HCC can go back to get them after our local runs are complete, around 4:00 PM.

Afternoon trips usually start at 4pm. 

We understand that some trips require exceptions and we can always ask HCC if they can accommodate.

Luxury buses sell out quickly. We recommend booking Luxury Coach buses as far in advance as possible – you can reserve more than a year in advance. Big, annual events and springtime trips are especially popular and require early booking.

Trips scheduled between Monday-Thursday tend to have more availability than those scheduled between Friday-Sunday.

Syosset CSD contracts with Hampton Jitney for reduced rates. If Hampton Jitney is unavailable, we must seek quotes from other operators before booking. This process takes time, increasing the possibility of your dates selling out. Again, the earlier, the better. Anticipate that costs will be around 25% higher than Hampton Jitney rates.

Day trips with multiple stops and all overnight trips require itineraries. We understand that trip details may be tentative when a trip is submitted, but the bus company requires at least a barebones itinerary.

Final itineraries must be submitted at least 14 days before departure.

Roughly 3-5 days before the trip, we’ll send a Coach Bus Inspection Checklist for the Trip Leader. It will be pre-filled with information specific to the trip.

The Trip Leader or other authorized school personnel must collect PART I from the driver and must complete PART II themselves.

SECTION ONE

  • Field Trip name
  • School making the request
  • Department – this has to do with budget codes. If none of those codes apply to your trip, choose “N/A“
  • Activity: all you’ll need to select from is HCC, Hampton Jitney, or No Bus

 

SECTION two: Contact information

  • Contact: Trip Leader’s name
  • Phone: Trip Leader’s phone #
  • Email: Trip Leader’s email address

 

SECTION three: departure & DESTINATION

  • Departure: the school that you’re leaving from
  • Destination: the name of the venue the trip is going to
  • Destination State
  • Destination Address information
  • Depart Date & Time
  • Depart Destination Date & Time: the time that the trip will leave to return to school

 

SECTION four: trip details

  • Classification: Type of Trip
  • Equipment: Type of Vehicle
  • Estimated Cost: Enter the estimated cost of the bus only. Do not include other costs associated with the trip, such as admission, airfare or lodging.

 

  • Number of Vehicles (based on 3 per seat for elementary, 2 per seat for secondary)
  • Number of Students
  • Number of Adults (include all chaperones, nurse, etc.)
  • Billing Classification: how is the trip being funded?

 

SECTION five: Notes

  • Internal Notes: The bus company does not see these.

You can put the Purpose of the Trip and other notes for District personnel here.

  • Departure and Destination Notes: Anything you want the bus company to know about, like stops on the trip or other special instructions.

 

SECTION Six: Field Trip Invoice Grid

  • Click Add at top right, choose the appropriate Account Code and enter the dollar amount.

 

All done? Click save – trip submitted!
